Introduction
This Privacy Policy applies specifically to the CCoS Transcript Generator, a Google Sheets-based application developed and maintained by Minsi Trails Council.
This policy describes how the CCoS Transcript Generator accesses, uses, stores, and shares information when users authorize the application to interact with their Google account and Google services.
Information Accessed by the Application
The CCoS Transcript Generator may access information contained in Google services when necessary to perform its functions, including:
Google Sheets — The application accesses spreadsheet data used to configure the application and maintain College of Commissioner Science course and participant transcript records.
Google Docs — The application accesses designated Google Docs used as transcript templates and may create or process documents as part of transcript generation.
Google Drive — The application accesses Google Drive to locate designated templates and folders and to create, read, update, organize, export, and, when necessary for application operation or cleanup, remove files associated with transcript generation.
Google Apps Script — The application uses Google Apps Script functionality, including user-interface functions and scheduled execution triggers, to perform transcript generation and related processing.
The application may also make external network requests when required to perform application functions, including loading application components used in PDF generation. Google user data is not intentionally transmitted to external services for advertising, profiling, or sale.
How Information Is Used
Information accessed through Google services is used solely to provide the functions of the CCoS Transcript Generator, including:
- Reading application settings and transcript records.
- Reading course and participant information.
- Reading transcript templates.
- Generating individual and batch transcripts.
- Creating PDF transcript files.
- Creating and organizing transcript output folders and files.
- Supporting batch processing and continuation of transcript-generation operations.
- Performing application validation, maintenance, and cleanup functions.
The CCoS Transcript Generator does not use Google user data for advertising or marketing purposes.
Storage of Information
Participant records, course information, application configuration, templates, generated transcripts, and related files are stored in Google Sheets, Google Docs, and Google Drive locations controlled by the user or organization operating the application.
The CCoS Transcript Generator does not maintain a separate external database containing this information.
Temporary or intermediate files may be created within Google Drive as part of transcript generation and may be deleted when they are no longer required.
Sharing of Information
The CCoS Transcript Generator does not sell Google user data.
The application does not intentionally share Google user data with third parties for advertising, marketing, or profiling purposes.
Information contained in spreadsheets, templates, generated transcripts, or other Google Drive files may be accessible to other individuals if the user or the user's organization shares those files or folders through Google Drive. Users and organizations are responsible for managing access permissions to their Google resources.
External Components
The application may retrieve publicly available software components or libraries necessary to perform application functions such as PDF generation.
The application does not intentionally provide participant transcript information or other Google user data to those external sources.
Data Retention and Deletion
Data maintained by the CCoS Transcript Generator remains in the Google Sheets, Google Docs, and Google Drive environment controlled by the user or organization.
Users or administrators may delete generated transcripts and other application files using Google Drive, subject to their organization's policies and permissions.
Removing the application or a copy of its spreadsheet does not necessarily delete other files previously generated by the application.
Users may revoke the application's access to their Google account through their Google Account security settings.
Data Security
The CCoS Transcript Generator relies on Google's authentication, authorization, and access-control mechanisms for access to Google Sheets, Google Docs, and Google Drive.
Users and organizations are responsible for controlling access to their Google accounts, spreadsheets, documents, Drive folders, and generated transcripts.
Google API Services User Data
The CCoS Transcript Generator's use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
Children's Information
The application is designed to maintain College of Commissioner Science training records and is not intended as a service directed to children. Organizations using the application are responsible for determining what participant information is appropriate to maintain in their copies of the application.
Changes to This Privacy Policy
This Privacy Policy may be updated when the functionality of the CCoS Transcript Generator or its use of Google services changes. The effective date shown above will be updated when material changes are made.
